How to Choose Grant Management Software for a Not-for-Profit

Australia's charity sector is incredibly diverse. The ACNC's 2026 Australian Charities Report analysed 53,641 Annual Information Statements from registered charities spanning vastly different sizes, activities and operating models. With so many different ways of working, there is no single definition of the "best" grant management system for a not-for-profit organisation. A better question is: what exactly does your organisation need the system to do?
If your organisation is in the market for new grant management software, here are five things to consider before comparing vendors:
Quick guide: Five things to consider when looking for not-for-profit grants management software
What to consider |
What to look for |
|
Your funding lifecycle |
Application tracking and support for assessments, agreements, payments, milestones and acquittals. |
|
Administrative workload |
Automated reminders and notifications, centralised information and fewer repetitive administration tasks. |
|
Flexibility |
Configurable forms, workflows and assessments that can easily adapt as your programs change. |
|
Reporting & impact |
Data capture throughout the funding lifecycle, outcome tracking and cross-program reporting. |
|
Auditability |
Clear records of assessments, approvals, changes, payments and decisions. |
1. Start by thinking about your funding lifecycle
When comparing grant management software, it is important to first map how funding and grants work in your organisation.
Not-for-profits may distribute grants to community organisations, manage philanthropic funds, deliver government-funded programs or work with partners on program delivery. For many, it’s a combination of these. Each funding stream can have different processes, stakeholders, reporting requirements, and obligations, so how funding is managed may change a lot from one program to the next.
Your grant management system needs to cover the full funding lifecycle. Start with grant application tracking. Your team should be able to see where each application sits as it moves through eligibility checks, assessment, and approval; it should be clear what has been completed and what needs to happen next.
That visibility needs to continue after a grant is awarded. Depending on the program, you may need to manage agreements, payments, milestones, reporting obligations and acquittals over months or even years.
After mapping your processes, you’ll end up with a list of core requirements to compare against feature lists without getting overwhelmed.
2. Look at where manual processes are costing you
The 2025 Digital Technology in the Not-for-Profit Sector Report found that while the not-for-profit sector has made progress in its use of technology, there are still opportunities for organisations to strengthen their digital capability.
For many organisations, manual processes can seem like the simpler option. And to a point, they can be. A spreadsheet might work for one grant round, and email might be manageable with a handful of stakeholders. But as programs grow, these workarounds can start to consume more of your team's capacity. What initially looked like the cheaper option can quickly become costly in staff time and duplicated effort.
Review your team's day-to-day workflows and look for the work that doesn't need to be manual. Then, look for grants management software that can take some of this work off your team's plate. Automated reminders and notifications can keep applicants and recipients informed, while centralising application documents and communications means staff spend less time searching for information or updating it in multiple places. Reducing this administration can free up your team, while also creating a better grant application experience for the people on the other side of the process.
3. Find the balance between consistency and flexibility
Not every funding program will follow the same process, which makes configurability so important. When looking at grant management software for a not-for-profit, prioritise solutions with workflows that your team can adapt and modify as needed, while reusing common processes.
Questions to ask:
- How much support will you and your team need from your vendor to set up new programs?
- Can your team make small or routine changes themselves?
- If a funding program or process changes, how quickly can the system adapt?
A highly configurable system is only useful if it is accessible and manageable. Look for a solution where your team can adjust forms, workflows and approval pathways themselves as programs change, rather than raising a ticket every time a funder's requirements shift.
4. Choose software that supports meaningful reporting
To demonstrate the efficacy of your grant, you need to capture the right information throughout the funding lifecycle. When comparing software, look past the reports it can generate and consider how the data gets there in the first place.
Questions to ask:
- Can recipients themselves easily report against set milestones and outcomes?
- Can information captured early on flow through to later stages?
- Can you create bird’s-eye view reports across programs or portfolios to understand the bigger picture?
Then there’s impact reporting. Funders increasingly want to understand what their funding actually achieved beyond a list of activities. While you might manually be able to keep track of outputs, demonstrating outcomes requires consistent data to be captured and connected over time.
For not-for-profit teams, this means looking for grant management software that makes reporting part of the funding process, rather than something your team has to piece together at the end. The right system should help you turn the information you're already collecting into usable insights about performance, outcomes, and impact.
5. Make sure decisions are easy to trace and explain
Finally, grant decisions need to withstand scrutiny. Not-for-profits need software that maintains a clear and easy-to-interpret audit trail throughout the funding lifecycle to help justify decisions.
Questions to ask:
- Can you see who assessed an application and track how decisions were made?
- Can you clearly find approvals, changes, payments and supporting documentation throughout the grant cycle?
- Can your team see funding status across programs without piecing information together from spreadsheets, emails, and separate systems?
This visibility makes it easier to identify what needs attention, understand where funding sits and explain how decisions were made. It also helps organisations demonstrate that funding decisions were fair and well-informed as grantmaking moves towards more transparent and defensible decision-making.
